Privacy Policy
Effective Date: June 25, 2025
At Server Maker ("we," "us," or "our"), we are committed to protecting your privacy. This Privacy Policy explains how we collect, use, and protect your personal information when you use our Discord bot ("Bot") and associated services ("Services"). By using the Bot or Services, you agree to the collection and use of information in accordance with this policy.
1. Information We Collect
To provide our services, we collect and store specific data. We are transparent about what we collect and why.
- Discord User & Server Data: When you use the Bot, we inherently access and process basic Discord data such as your User ID, Server (Guild) ID, Role IDs, and Channel IDs to execute commands.
- Server Configurations: We store server-specific settings you configure for our modules. This includes data for the Welcome system (e.g., welcome message, channel ID), Logging system (e.g., log channel ID, tracked events), Ticket system (e.g., ticket category ID, support roles), and Server Lock (e.g., verification roles and channel).
- User-Generated Assets (Templates & Backups): When you create a template or backup, we store the asset's name, description, and its structural data. This structural data is a snapshot of your server, including:
- Role configurations (names, colors, permissions).
- Channel configurations (names, topics, permissions).
- Basic server settings (name, icon).
- For backups, this data also includes a list of banned user IDs and a cache of recent messages from your channels.
- Moderation & Ticket Logs: We store persistent logs for moderation actions (recording the moderator, the user, the action, and the reason) and data on active support tickets (linking the ticket channel to the user who created it).
- Command and AI Usage Data: We collect information on command usage to understand which features are popular and to diagnose issues. When you use an AI-powered command, we process the text prompt you provide. To fulfill AI edit or audit requests, we also process a sanitized snapshot of your server's structure (role and channel names). This data is sent to our third-party AI provider.
- Website Data: When you use our website, we may collect standard data like your IP address and browser user-agent for analytics and security purposes.
2. How We Use Your Information
We use the collected information for the following purposes:
- To Provide and Maintain Services: To operate the Bot's core features, such as creating backups, loading templates, and running automation modules based on your stored configurations.
- To Process AI Requests: To fulfill commands like /build ai and /edit ai, we send your prompt and relevant, non-identifiable parts of your server's structure to our third-party AI service provider.
- To Improve and Optimize: To analyze usage patterns, identify popular features, diagnose errors, and enhance the Bot's performance and user experience.
- To Ensure Security: To monitor for misuse, prevent malicious activity, and protect the integrity of our Services.
- To Communicate: To provide support or communicate important updates, primarily through our support server.
3. Data Sharing and Disclosure
We are committed to not selling your personal data. We do not share your information with third parties except in the limited circumstances required to provide our services:
- With Discord: All interaction data is inherently processed through the Discord API and is subject to Discord's Privacy Policy.
- AI Service Provider: To power our AI features, we transmit prompts and serialized server structure data to our AI service provider, Loopy's API (`api.loopy5418.dev`). We only send the minimum data necessary to fulfill the request. This data is not stored long-term by the provider.
- Service Providers: We use industry-standard third-party hosting providers (e.g., for servers and databases) to store all collected data. These providers are chosen for their robust security and privacy practices.
- Legal Requirements: We may disclose your information if required by law or if we have a good faith belief that it's necessary to protect our rights, your safety, or to investigate fraud.
4. Data Security
We implement reasonable technical and administrative security measures to protect the information we store from unauthorized access, use, or destruction. This includes using secure protocols, database access controls, and limiting staff access to data. However, no method of transmission over the internet or method of electronic storage is 100% secure.
5. Data Retention
- Server Configuration Data: Retained as long as the Bot remains in the server. If the Bot is removed, this data may be deleted.
- User Assets (Templates & Backups): Stored until you manually delete them through the Bot's commands.
- Moderation and Ticket Logs: Retained to provide a persistent history for server administrators. This data is deleted if the server is deleted from our database.
- AI Usage Logs: Anonymized and aggregated usage data may be retained indefinitely for statistical purposes. Specific prompts are not stored long-term.
You can request the deletion of your personal data by opening a ticket in our support server.
6. Your Rights
You have the right to access, correct, or request the deletion of your personal data stored by Server Maker. To exercise these rights, please contact us through our official Support Server.
7. Children's Privacy
Our Services are not directed to individuals under the age of 13, in accordance with Discord's Terms of Service. We do not knowingly collect personal information from children. If we become aware that we have done so, we will take steps to delete that information.
8. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify users of significant changes by posting the new policy on this page and updating the "Effective Date" at the top. We encourage you to review this policy periodically.
